Use Policies and Procedures

The following policies and guidelines are intended to maximize the use of the Learning Resources Division (LRD) for its primary function of facilitating faculty applications of the latest technological innovations in classroom instruction, web-based instruction, and interactive distance education. The e-labs are not available for general use and are limited to faculty and staff who require the support of technological resources. Faculty are required to facilitate their courses and be present during the entire class period. Students or guests should never be left alone in the e-labs. If the room is scheduled in coordination or partnership with an external group, a UDC representative must reserve the room and be present at the function at all times.

The A-03 Auditorium is presently the only facility at UDC fully equipped with technology support that can accommodate up to 125 persons. Due to its size and advanced technology, it is a considerable asset and its service is to be maximized in benefit of the academic mission to serve academic functions.

  • Requests to use the LRD e-labs or auditorium are scheduled and approved via the Room Calendars website.
  • At least one week of advanced notice is required to coordinate the availability of technical assistance.
  • Priority for the A-03 auditorium is given to groups of more than 25 persons requiring technology support. Smaller groups requiring technology support can be adequately served in e-labs 104, 105, or 510.
  • All last-minute use requests shall be honored if the facility is free and there is no overlap with scheduled activities. Maximum usage of the facilities is one objective. Another objective is providing service and satisfaction to LRD patrons. Guidelines and procedures are to be applied to ensure adequate use and not to diminish or deny service.
  • Requestors who fail to make use of the scheduled room will be warned that continuation of such practice will result in advanced scheduling denials. The preempting of other patrons from using the facility by needlessly reserving the facility in advance should be minimized or eliminated.
  • Before using a LRD e-lab or the auditorium, faculty must complete training in the operation of the needed functions, procedures, and resources of the facility.
  • Faculty must follow procedures as requested to facilitate efficient use.
  • Faculty must leave the room in the same physical condition as when the class arrived.
  • Unless otherwise instructed, e-lab equipment shall be left on. Before leaving, faculty must ensure that all programs have been closed and that all computers have been returned to the Windows desktop.
  • Faculty must ensure that all students and guests exit the e-lab or auditorium at the end of each class.
  • Upon leaving, the instructor must notify an LRD staff member to ensure the room and its equipment are secured. Please visit Room 106 or inform any LRD staff member on duty at the media desk (Level A).
  • No software shall be installed on any LRD computer without prior approval.
  • As with all LRD facilities, food and drinks are not permitted in the LRD.
  • Unauthorized access to LRD facilities can result in denial of future requests or physical removal by campus security.
  • LRD reservations for e-lab use can only be made for four instances (class periods or events), per advance reservation. This will ensure access and availability to the entire UDC community. An exception to this policy may be considered when and if a particular class or activity requires recording of the entire curriculum or program to create a distance learning course, or a performance series, etc. The new technology support provided in Auditorium A-03 makes it an ideal instructional production facility. Such use should be coordinated well in advance.
  • Failure to observe these procedures will result in the requestor forfeiting the use of the room for the specified time if another requestor is present. Past practice suggests that following these procedures minimizes downtime, increases usage, and, more importantly, satisfies the needs of more patrons.
